Information collected
When you submit a rental request, we collect the information you provide, such as name, company, phone, email, delivery location, equipment need, timing, temperature target, rental length, and message details.
If you receive a RefrigRental invoice or rental agreement link, we may also collect agreement details, government-issued identification uploads, typed signature details, the last four digits of the card used or intended for payment, payment processor order or capture identifiers, timestamps, IP address, browser information, and related records needed to document the transaction.
How information is used
Request information is used to respond to rental inquiries, triage emergency cold-storage needs, coordinate rental details, and maintain lead records. The recipient email address for the form is stored server-side and is not displayed on public pages.
The site may use Google Ads measurement tags to understand when an ad click leads to a submitted rental request, a visit to the request confirmation page, or a click on a phone number link. This helps measure advertising performance and improve campaign targeting.
For advertising measurement, contact details you provide, such as phone number or email when available, may be normalized and handled through Google Ads enhanced conversion measurement so ad clicks can be matched more accurately to real rental inquiries and later qualified leads.
Invoice and agreement records are used to process payment, confirm the customer's identity and authority, document rental acceptance, coordinate delivery or pickup, protect equipment, resolve disputes, support collections, and maintain business records.
Data sharing
Information may be shared with operational partners as needed to respond to a rental request, coordinate delivery, or support the requested service. We do not sell request information.
Payment is processed through a secure third-party payment processor. RefrigRental does not ask customers to submit full card numbers, CVV codes, PINs, or banking passwords through its invoice system.
Security and retention
Rental agreement records and ID uploads are kept in restricted server storage and are intended for access by authorized business personnel only. Records may be retained as long as reasonably needed for rental operations, accounting, legal, insurance, collection, dispute, or compliance purposes.
